The new Electronic Document Management System provides a separate block for issuing and storing machine-readable powers of attorney and controlling their validity periods. The feature is necessary due to the recent changes in e-document management procedure. Before, a paper power of attorney could serve as the basis for signing the documents; today, a machine-readable power of attorney is needed.
Today, in order for employees to use their Qualified Digital Signature issued to an individual, proof of authorization is required. A machine-readable power of attorney is a very document used to record employee's authorization to work with e-documents.
The machine-readable power of attorney is the electronic equivalent of a paper power of attorney. Is exists as an XML file signed by the digital signature of the head of the organization. The file contains information about the proxy individual, the principal organization, the period of validity of the power of attorney, and a description of the powers of the proxy.
The module provides a full cycle of machine-readable power of attorney management, including expansion capabilities for embedding additional options and services, and can be integrated into existing processes in any EDMS solution.
The time to obtain a power of attorney (from receipt of the request to receiving by employee) was reduced by 5 times.
The use of paper was reduced by 80%.
It is not obligatory to notarize powers of attorney when filing reports. Communication was streamlined, reducing the risk of certified document non-delivery.
