In 2020, the CSC decided to develop its own Corporate Portal and implement services for employees on it. CSC-IT experts spoke about what came out of this: Alexander Gavrilovich, head of area in the department of development and support of information systems and solutions, and Ilya Rabovsky, architect, architecture department.

Alexander, please tell us about the process of implementing HR services! Which ones already exist?

Alexander: Previously, we used the Client Portal from the point of view of services for employees, so the first task was to implement in our solution those functions that were previously in demand. The first such service was “Vacation” with the “Vacation Schedule” that followed from it. The project started and was launched in 2021. The next step was “Business Trips”. By the end of 2021 - beginning of 2022, we have implemented the full cycle of this service in interaction with a Travel agency: from the moment of booking, ending with the automatic generation of an expense report. We have reasons to be proud. Over the course of a year, we made a really cool solution, simplifying the job of processing business trips, plus eliminating the need for manual expense reports and sending them to the accounting department to confirm expenses.

At the same time, in 2022, an initiative was launched to develop another key area - KEDO (electronic HR document management). When the project started, we adopted a solution for the convenience of users - the variability of electronic signatures. What does it mean? Enhanced electronic signature will be used for documents where it is required, and simple ES can be chosen elsewhere.

In April 2023, we finalized and replicated this solution for 50 clients; about 80% of documents are now signed this way. In parallel with this fashionable and powerful service, Help service was created and developed. Now every employee can order any certificate in a matter of minutes in two ways. The first is a scanned copy, without a “wet” signature. It is instantly displayed on the screen, and one can print it out. The second option is the original hardcopy document. An employee can visit the front office and receive it quickly. You no longer have to wait three days as before.

Colleagues, what makes CSC solutions unique?

Ilya: When the KEDO project started, we looked at a number of out-of-the-box solutions on the market. In the process, we realised that it would be easier for us to develop our own one. It is cheaper, easier to replicate, and we do not need to send data to cloud services. Right now, we only send a digital impression, a hash of the document.

We have actually developed our own unique product, both for ourselves and for different clients. It has flexible customisation, variability of different types of signatures, as mentioned above, and a user-friendly interface for employees. It is also worth noting that our document storage and services are ‘physically separated’. Unlike most out-of-the-box solutions, we are not bound to store documents in our service.

We are in the process of finalising the ability to integrate with any document storage, as many clients have their own document storage and it is in the cloud.

What other features are available to employees?

Alexander: Last year we completed several other interesting services. For example, a service for coordinating additional days of rest: the portal not only allows you to request additional days, but also maintains the approval process and automatic display in the accounting system.

We also implemented ‘Familiarisation with LR (local regulations)’ using the KEDO functionality. Manual familiarisation is difficult to control, and since last year, we have been actively working in this service. According to the statistics of one of our Clients, the speed of signing has increased 10 times.

What are the plans and prospects? What will be new?

Alexander: The two projects that have already been launched are, in our opinion, very promising. Firstly, Digital Employment, and secondly, Sick Leave.

Ilya: We plan to implement Digital Employment in 2024. This is a hot IT trend. Remote signing of consents and all necessary documents will be available for a potential employee. This is a story where a person may not have to come to the office at all to sign up. This service will also be replicated for all Clients.

Alexander: As for ‘Sick Leave’, many companies have already automated the processing, but our service has one of the advantages: full information and support of the employee from the moment the sick leave is opened. We inform about overlaps with other days of absence (holidays/business trips) and offer the possibility to postpone or cancel, give time to ‘think’ and choose further actions. Practically no one else has done this. We have direct integration with the SFR (Social Fund of Russia), and the involvement of the HR service is minimal. This is definitely a separate topic for the next interview! As soon as we complete the project, come and see us!
